Clients & quotations

The priced proposal that wins the work — and the client record it attaches to. GST is always 9%, never typed by hand.

Before a job is awarded it's a quotation: a priced proposal to a client. Get this right and an awarded project drops out of it almost for free.

Clients

A client is a company you work for, and every project links to exactly one. You create a client with company name, contact, phone and email; once saved it's available in every quotation and project form. Open a client to see all their projects, quotations and contacts.

Building a quotation

  1. Pick the client (or create one first).
  2. Optionally link an existing project.
  3. Choose a pricelist — a pre-loaded rate schedule — to auto-populate line items, or enter them by hand.
  4. Organise items into sections and enter quantities.
  5. GST is calculated at 9% automatically. You never type it or override it.
  6. Save as DRAFT — editable freely.
  7. When ready, set the status to SENT to lock the draft and track the response.

Lifecycle

DRAFT → SENT → ACCEPTED / DECLINED / EXPIRED

When a quotation is ACCEPTED, an AWARDED project can be created directly from it — the contract value, payment terms and retention rate all carry across, so you're not re-keying numbers.

Hard rule

GST is fixed at 9% and applied automatically from your organisation's rate. It is never entered or overridden on a quotation, a claim or an invoice.
